Vendzi

For trainers & coaches

Sessions booked, records kept, payments not chased.

A coaching practice is a calendar and a set of client histories. Vendzi keeps both on one record, so the person who books a block of sessions is the same person whose notes, payments and progress you can see.

The daily friction

What actually goes wrong running trainers and coaches

  1. Sessions agreed over messages

A time agreed in a chat thread is not on a calendar, so it is double-booked the moment someone else asks for the same hour.

  2. Progress notes in a notebook

What was worked on last week lives somewhere the client cannot see and you cannot search when they ask.

  3. Payment after the fact

A session delivered, an invoice sent later, and a reminder you have to remember to send yourself.

  4. No-shows that cost a slot

An hour held and lost, with no deposit rule to make the next booking carry some weight.

How Vendzi handles it

The same problems, solved on one system

Everything below is in the product today — not a roadmap item.

Per-service durations and prices

A 30-minute check-in and a 90-minute assessment are different slots, priced separately, with availability derived from your real hours.

Deposits on the sessions that matter

Protect the long or high-value bookings with a deposit taken at booking, and leave the short ones frictionless — set per service.

One client record

Appointments, orders and payment history on one timeline, with free-text notes for what was worked on and what comes next.

Payment links instead of invoices to chase

Send a link by email, SMS or WhatsApp and the payment lands against the client and the order, through your own provider.

Reminders that go out on their own

Automatic reminders before the session, and no-shows recorded against the client so the deposit rule can be based on evidence.

A page that explains what you offer

Service pages generated from your service menu, on your own domain, with structured data and a blog for the writing that wins clients.

A day on Vendzi

From first click to second visit

One record follows the client from the ad to the rebooking — nothing is retyped, nothing lives in a DM thread.

  1. Morning

    Booked in one click

The client picks a real opening with the practitioner they want. The slot is claimed atomically, so it cannot be sold twice.

  2. Midday

    Protected where it counts

A deposit guards the long, high-value sessions. The short ones stay frictionless — deposits are set per service.

  3. Before

    Reminded, not chased

Automatic reminders go out before the appointment, so the forgotten visit is the exception rather than the pattern.

  4. During

    Noted for next time

History, notes and preferences land on one client record, with role-based access deciding who can read what.

  5. After

    Rung up and rebooked

Services and retail go on one ticket at the counter, the payment is recorded against the client, and the next visit is booked.

Booking & calendar

Clients see the slots your staff can actually work, and a slot is claimed atomically — two people cannot book the same chair.

  • Availability derived from each staff member’s hours and time off
  • Per-service duration, so a colour appointment is not a haircut slot
  • Deposits at booking for the services you want protected
  • No-show tracking against the client record

Every visit, attached to a person

Client records

Appointments, orders and payment history land on one client timeline, so you know who is returning and what they had last time.

  • One record per client, shared across bookings and shop orders
  • Visit and spend history
  • Free-text notes for formula, preferences and allergies
  • Search and filter by name, phone or email

Questions

Questions we get from trainers and coaches

If yours is not here, ask when you sign up — you will get a person.

Can I sell a block of sessions?

Sessions are booked and paid one at a time, with a deposit option per service. There is no prepaid package product — a block is a series of bookings, not a bundle you buy up front.

Do clients need an account?

No. The booking page takes the details the appointment needs, and the client record is created from the booking.

Can I take payment at the session instead?

Yes. Card, cash, pay in store and a payment link are all recorded against the same order, whether the session was booked online or added at the counter.
